Small Business needs ideas regarding tracking probation periods in HR

Our small business is getting ready to offer health insurance and it is a bit overwhelming trying to come up with a way to keep up with the new hires and when to offer them the insurance after 90 days and when to start taking it out of their check. How do company HR Departments do it? I could just use a calendar book but is there another way that would be better/easier (preferably free) and maybe even help with other reminders too?

Why wait the 90 days? I never understood this. Unless your business has insanely high turnover for new employees, just give them insurance at their start date.

Sorry, to answer your direct question, I am pretty sure our office manager just sets calendar reminders (we use Google Calendar because we use Gmail/Google Apps for Business).

Response by poster: Well, sorry to say we do have high turnover, it is construction and believe it or not some people don't want to work.

I just have new employees fill out the insurance app when they start. There's a spot to indicate the eligibility date, so I submit to the insurance company right away, and the coverage automatically begins on the correct date.

If they didn't last long enough, they would appear on the bill, and I would just strike their name from the list and subtract their premium from our payment
