I have MS Office Pro Plus 2010 at work, and I haven't used Office before. After using Gmail exclusively for a number of years, and never any scheduling tools beyond what came on my Droid from Verizon, I'm looking for ways to better utilize the email, organizational and time management options I have. I recently learned about flags and
conversation view from a co-worker, but I feel like there are more features I should be using.

I need to recruit 500+ people in NYC to come in to do a study in a hotel conference room. They'll be in groups of 10, in 1-hour sessions. What can I use to let them (a) schedule themselves and (b) change their own signups?

How can I identify software for online registration for soccer training sessions? I'm thinking there are some solutions out there that are basically blackbox that can then be tailored to my site, but I haven't been able to turn them up. I don't want to use just something like regonline.com because I have people signing up for each session and there are dozens of different sessions in a week.

I'm trying to set something up for a whole bunch of people with busy schedules. Is there a free web app, or open source hosted script, that allows a group of people to schedule something, and show where the conflicts are? (As in Outlook, but free, and collaborative)
