My new grad school class (of about 140, if it matters) needs an easy way to post and share categorized notes, study guides, and sundry other files and documents with one another. What simple, easy-to-use open-source Web knowledgebase and/or document-management software might work well for this purpose?

I'm looking for something sorta like plone or drupal, but that supports structured documents (e.g. per an XML DOM or something similar) and allows for component-wise searching of those documents. [more inside]

Need a simple document management system with a clean, easy interface that can index documents based on job #, who the document is to and from, and date. Tagging the documents would be a really cool feature (like del.icio.us tagging) but not required. [more inside]

I'm looking for a document checkout system, preferably one that is usable by English professor technophobes. Specifically, I'm on a committee that does scheduling, and we all work on the same document. It would be great to find a way for one of us at a time to check the document out and work on it that didn't require any behavioral modification.

Everyone but me is running windows xp. I've got OS X 10.3.

I'm investigating document management solutions for a client running Office 2003. After spending quite a bit of time digging through their marketing junk, I still can't tell the difference between Microsoft Sharepoint Services and Microsoft Sharepoint Portal Server. Can anyone explain these things in non-Microsoftese?
