Resource Management Software? Help, please.

Thanks in advance for your assistance. I'm looking to find a resource management software that will help me keep track of which of my 150-170 facilities are in use right now, and which will be in use in the coming days. Details below the fold.

I'm looking to find a resource management software that will help me keep track of which of my 150-170 facilities are in use right now, and which will be in use in the coming days.

I have the upcoming schedule for each of my facilities which usually run something between "Three days from now, we'll probably be occupied for 1-7 days" to "We are currently occupied and will be vacated at 1500 today". I need to be able to enter in estimated usage so that "We'll be occupied in three days" shows no-vacancy starting in three days, but later, I need to be able to go into my records and refine them based on actual usage to turn it to "Occupied at 0800 on Monday..." and finally "vacated at 1740 on Wednesday".

I need some level of reporting function so that I can allow third parties to see:
  • Which facilities are currently unoccupied
  • When the unoccupied facilities will be next occupied
  • Booking contact information (phone)
  • Facility notes (just a text field) The closest things I've found so far have been employee scheduling programs (looks like they were designed for food service or light retail), except due to the uncertain length of occupancy, they don't really work (makes sense, I guess on a philosophical level, I don't mind that the shift-worker program doesn't allow for "you'll be on for a few days, call it three as a first-guess") But, I don't want third parties to be able to see my level of detail about who is at the occupied facilities, etc. I also don't really care about staffing, accounting, billing, profitability analyses, etc Suggestions? Thank you.

There is a whole industry of software around room booking and meeting room booking. It tends to be mature and quite good at this point. Even though you are managing facilities, what you describe is much closer to meeting room booking software than it is to facilities management software. In this instance, each facility you have would simple be a room, and you can get current reports, forecast reports, and total time for each room depending on what software or web app you use.
